Customizing Capture Status Options
Capture2Proposal provides all tenants with an out-of-the-box set of Capture Status options based on popular government procurement practices. However, you can update the statuses to align with your unique business needs.
As you can see in the image above, there are a few fields to consider when you are updating your capture status options. This tutorial will go through the meaning of each of the fields.
- Source: C2P or Unique. This is mainly a reference field for your own information. C2P source fields cannot be deleted, only hidden from the view. For fields that are unique to your company, you can choose to either hide a status option you no longer wish to use, or you may delete it.
- Status Type: Status Types are used in analytics to calculate both velocity and win ratio. Additional future uses such as pipeline filtering and access rules by status type are under development. The definitions for each option are as follows.
Working Opportunity – Opportunities you are actively considering or working
- Placeholder -- An opportunity not being worked right now that is in the pipeline to help develop a long-term forecast pipeline, or for other purposes where it should be visible but it should not be considered a current working opportunity. This is not an archive opportunity type; it should be used when you want an opportunity to be visible in your active company pipeline, but you are not yet building the proposal/actively working on the opportunity. It does not count toward the velocity calculations in Stats-At-A-Glance.
Inactive/Award Pending -- This status can be used for any variety of situations such as choosing not to bid on an opportunity, waiting award notification, or other. When an opportunity is in this status it is not included in current velocity calculations.
Won -- Opportunities your company won, be it as a prime, sub, JV or other
- Lost -- Opportunities your company bid on and lost, be it as a prime, sub, JV or other
- Status: The name of the status as it will appear in the Capture Status opportunity view
- Visibility: An indicator for whether a status is visible in the opportunity selections. Any opportunity that is hidden must be mapped to a visible field in the opportunity.
- When you hide a status, the next column will automatically populate with a dropdown list of visible status options
- If you select the option not to map to a visible option, then any opportunity with the status you are hiding will have a null status
- Rules of transference apply; If you map to Status A to Status B while Status B is set to visible and A is hidden, then set Status B to be hidden and map to Status C, then Status A will also map to Status C.
- Delete: Only Unique Status fields can be deleted, and only once they have been set to hidden.
Setting Up Status Options
Using the rules and definitions above, you can now customize your Capture Status options.
- Click the "Add Custom Status" button to create a new row. Fill in the Status Type and Status Name fields to add the status to your options.
- Reorder the options by dragging and dropping the status row to a new position on the page to get your optimal order.
- Set the Visibility to Hidden for any status you do not wish to show, and map the status to a new field option.
- If this is a unique status, you can now delete the original status if you wish. All opps that had that status will be reset to the mapped status on save.
- If this is a C2P status, or a unique status you'd like to retain for any reason, we recommend moving the status to the end of your list to make it easy to distinguish between the statuses in use and those hidden in your opportunity view.
- When you've completed all of your changes, hit "Save" to update your Status Options. It will take a short amount of time to reindex your opportunities to reflect any status changes.
- Hit Cancel at any time during updating to revert to your last saved version.
